·         Reception and Front Desk Support: Greet visitors, clients, and employees warmly and professionally. Handle incoming calls, inquiries, and redirect them to the appropriate personnel. Manage incoming and outgoing mail and packages.

·         Office Operations: Manage day-to-day office operations, including maintaining office supplies, equipment, and facilities. Ensure a clean, organized, and functional workspace for employees.

·         Administrative Support: Assist with general administrative tasks, such as data entry, filing, photocopying, and managing documents. Prepare and format reports, presentations, and other materials as required.

·         Equipment management: Ensure management of office equipment including air conditioning, printer, lights, machines etc through proper vendors.

·         Travel Arrangements: Arrange travel bookings, accommodations, and transportation for employees or management as needed through travel agency.

·         Communication: Facilitate effective communication within the office. Distribute internal memos, announcements, and other communications. Handle email correspondence and maintain contact lists.

·         Vendor Management: Liaise with vendors and suppliers to procure office supplies, services, and maintenance. Ensure cost-effectiveness and quality in vendor relationships.

·         Budget Tracking: Assist in monitoring and tracking office expenses. Prepare and submit reports on expenditure as needed.

·         Event Coordination: Assist in planning and coordinating office events, meetings, and celebrations. Ensure smooth execution and a positive experience for participants.

·         Record Keeping: Maintain accurate records and files, including personnel records, contracts, and other important documents.

·         Health and Safety Compliance: Ensure compliance with fire, health and safety regulations, including maintaining emergency procedures and conducting safety training for employees.

·         Employee Support: Provide administrative support to employees, such as processing paperwork, assisting with onboarding, and addressing routine inquiries.
